Location: San Bernardino, CA (Remote)
Pay Rate: $28.00 per hour
Schedule: Full-Time

Job Summary

We are seeking a highly organized and detail-oriented Travel & Administrative Coordinator to support a busy operations team. This position combines administrative support, travel coordination, expense reconciliation, billing support, and data entry responsibilities.

The ideal candidate will have previous experience managing travel arrangements, processing expenses, coordinating with payroll, and supporting multiple departments in a fast-paced environment.

Key Responsibilities

  • Coordinate and book travel arrangements, including airfare, hotels, and rental cars
  • Communicate travel details and itinerary changes to employees via phone and email
  • Reconcile travel expenses, receipts, and supporting documentation
  • Enter and maintain expense records with a high degree of accuracy
  • Monitor shared email inboxes and respond to travel and expense-related inquiries
  • Support billing processes and resolve discrepancies in a timely manner
  • Partner with payroll and internal departments regarding travel and expense issues
  • Maintain spreadsheets and tracking reports related to travel expenses
  • Ensure all receipts and documentation are collected and processed promptly
  • Perform data entry and administrative support functions as needed
  • Assist with special projects and cross-functional team initiatives

Qualifications

  • 3-5 years of experience in an administrative, operations support, travel coordination, or expense management role
  • Experience booking business travel, including flights, hotels, and rental vehicles
  • Strong attention to detail and ability to manage multiple priorities
  • Excellent organizational and time management skills
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
  • Strong communication and customer service skills
  • Ability to work independently and meet deadlines
  • Experience with expense reporting, billing, payroll support, or accounting-related functions preferred
  • Experience using Oracle or similar expense management systems is a plus
